How To: Sync, Stream and Share your Data over the Cloud using Ubuntu One

Cloud data storage solutions are in abundance at the moment, with service providers competing with one another to offer more gigabytes of remote storage, at faster data transfer rates than the current status quo. This is, of course, great for those users in the market for a solution that will offer easy synchronisation, backup and streaming of specified folders on the hard drive - but it does mean it is getting harder to choose which solution to go for.

Ubuntu One is a relatively new cloud solution on the market, but don't let that put you off -  its from the same team that brought us the most popular flavour of the most stable operating system on the market (Linux Ubuntu) and the same standards of robustness and efficiency are also present here. It also comes with a whopping 5gb of free storage, which is more than currently offered by competing solutions such as MiMedia and DropBox.

As with other cloud solutions, an account must first be created, then the desktop app is installed (available for Windows or Ubuntu) and the folders to sync specified. Data can then be accessed on other machines running the desktop app, or via the browser using a web-interface (useful for when the client cannot be installed, for instance on a locked down computer, or for the Apple Mac where there is no client available). There are also Android, iPhone and iPad clients available for accessing data on the move.

Step-by-Step Instructions

    Access the download page for Ubuntu One and grab the free installer for your Windows or Linux Ubuntu operating system. Once the installer has finished downloading, run the file to start the installation process. The Ubuntu One Setup menu appears and proceeds to install the required software onto your system.

    After installation, a green tick appears alongside the Install stage on the left hand side of the Setup window. Next, you need to Sign In using an existing Ubuntu One account, or by registering and using your new credentials. If this is the first time you have used the application, click I Don't Have An Account Yet - Sign Me Up button. Note: you can also choose to login using an existing account, or postpone the sign-up process for later by clicking the appropriate option. Logging in with an existing account will allow you to access all the data associated with that account using the Ubuntu One desktop client.

    Enter the required information on the Sign-Up to Ubuntu One page, ensuring you select a high-strength password (containing capital letters and numbers). Click the Terms of Service and Privacy Policy links, review the conditions and check each box if you agree to adhere to them. Click Set Up Account to proceed.

    Access your email and copy the verification code in the mail that was sent from Ubuntu One. Paste this into the Verification Code field in the desktop client Setup window and click Next. Once the check has completed, click Start Setup.

    Check the folders you wish to sync and make available on the cloud. To add a folder that is not already in the list, click Add Folder and navigate to it in the Explorer window that appears. Click OK when all the folders you wish to sync have been checked, then choose Go To My Ubuntu One Account. The data sync begins at this point. Note: if Windows Firewall alerts you of the new traffic, ensure you select Allow or Ubuntu One will not be able to communicate with the remote server.

    Depending on the volume of data being synced, and the upload speed of your internet connection, it may take several hours before the folders you specified are available on your cloud. Once the sync is complete,  simply navigate to https://one.ubuntu.com in any browser and enter your Ubuntu One account details to access all of your data.

Tips & Advice

  • Download the Ubuntu One client for Android, iPhone or iPad if you want to be able to access your data on the move using any of these devices. After installation of the client, enter your Ubuntu One credentials and the folders specified in Step 5 are accessible on the device. Simply select a file to download it locally.
  • The desktop client can also be installed on multiple machines. Any new data that is created in the watched folders will be accessible on every device associated with that Ubuntu One account.
